What Ledgerly does

Ledgerly is a bookkeeping assistant that connects to your QuickBooks Online company. It reads bank statements and invoices you upload (PDF or CSV), checks them against your QuickBooks data, and helps you post new transactions without creating duplicates.

Data we collect

• Account information — your email address and sign-in credentials, used to create and secure your Ledgerly account.
• QuickBooks data — with your explicit authorization, we access your QuickBooks Online company via Intuit's official API to read existing transactions, vendors, customers, and accounts, and to create transactions you explicitly approve.
• Uploaded documents — bank statements and invoices you upload for parsing. These are processed to extract transaction details (dates, amounts, descriptions, vendors).
• Connection tokens — QuickBooks access and refresh tokens, stored encrypted on our servers and never exposed to your browser or third parties.

How we use your data

• To read your uploaded documents and extract transactions.
• To compare extracted transactions against your QuickBooks data to detect duplicates.
• To create transactions in QuickBooks only when you explicitly click to approve them.

We do not sell, rent, or share your financial data with advertisers or data brokers. We do not use your data to train AI models.

Third-party services

• Intuit QuickBooks Online API — governed by Intuit's own privacy policy and terms.
• AI document processing — uploaded documents are processed by a hosted AI service solely to extract transaction data; documents are not retained by the AI provider.
• Hosting and database — your data is stored on secure cloud infrastructure with encryption in transit and at rest.

Data retention and deletion

Uploaded files and staged transactions are kept until you delete them or your account. You can disconnect QuickBooks at any time from the Overview page or the Disconnect page, which immediately revokes our access and deletes your stored tokens. Security

Access to your data is restricted to your own account through row-level security rules. QuickBooks tokens are stored server-side only. Nothing is posted to your books without an explicit action from you.
